Done properly

Automation should save time without creating new risks. This is what we design around:

• Human in the loop by design: we design AI and automation with a human in the loop wherever decisions affect people, in line with UK GDPR and ICO guidance.
• Automated decisions: since 5 February 2026, UK GDPR Articles 22A–D set the rules for significant decisions about people made solely by software. People must be told, be able to make representations, get a human to step in and contest the decision. Special category data, such as health data, stays restricted.
• Human review: the ICO’s draft guidance on automated decision-making (March 2026; the consultation closed on 29 May 2026, so the final version may change) says human involvement only counts if a trained reviewer looks at each decision before it’s applied, understands the system and can change the outcome. Spot checks don’t count.
• Data minimisation: each workflow only moves the personal data it needs, and only to the systems that need it.
• Error alerts and monitoring: if a step fails, a named person is told, so nothing goes missing without anyone noticing.

Which automation tool do you use?

Zapier, Make, n8n or Power Automate, depending on your systems, budget and data needs. We recommend one in the audit, and explain why. See Workflow automation.

What happens when something breaks?

You’re told. Every workflow has error alerts to a named person, and support plans include fixing problems. We respond within 4 working hours if a workflow has stopped, and within 1 working day for everything else.

Can AI make decisions about our customers or staff?

Where decisions affect people, a trained person reviews them before they’re applied. Since 5 February 2026, UK GDPR Articles 22A–D set safeguards for significant decisions made solely by software. See AI assistants and chatbots.

Who owns the workflows and accounts?

You do. Automation accounts such as Zapier, Make or Power Automate are set up in your name and paid by you, and you own the workflows and data. We work as a user you can remove at any time. Ownership of anything we build passes to you when the final invoice is paid.
