What we collect
When you use our contact form, we collect:
- your first and last name
- your email address
- the subject and message you write
- a record that you ticked the box agreeing to us storing your details
The form also records your IP address, the type of browser and device you used, and the page you sent it from. This helps us spot spam and misuse.
If you email us, we get your email address and whatever you put in your email.
Our hosting provider may also keep technical logs, such as IP addresses, to keep the website secure and running.
Why we use it, and our lawful basis
We use your details to reply to your enquiry and, if you ask, to arrange a free audit or send you a proposal.
- Consent: when you send the form, you tick a box agreeing to us storing your details so we can reply. You can withdraw your consent at any time by emailing info@studios6.co.uk. This doesn’t affect anything we did before you withdrew it.
- Steps before a contract: if you ask about working with us, we use your details to prepare a quote or proposal.
- Legitimate interests: we keep the IP address and device details to protect our form from spam and misuse.
- Legal obligation: if you become a client, we keep records such as invoices that the law requires us to keep.
We don’t sell your information, add you to a mailing list or use it to make automated decisions about you.
How long we keep it
We keep contact form entries and enquiry emails for 24 months, then delete them. If you become a client, we keep project records for as long as we need them by law.
Who we share it with
We only share your information with the suppliers who help us run our website and email:
- our website hosting provider, which stores the website and the contact form entries
- our email provider, which delivers and stores our emails, including the copy of each form entry sent to info@studios6.co.uk
They can only use your information to provide their service to us, under a contract with us. We don’t share it with anyone else unless the law requires us to.
International transfers
Some of our suppliers may store information outside the UK. When they do, we make sure it’s protected by safeguards recognised under UK law, such as UK adequacy regulations or the ICO’s International Data Transfer Agreement.
Your rights
You have the right to:
- access: ask for a copy of the information we hold about you
- correction: ask us to fix anything that’s wrong or incomplete
- erasure: ask us to delete your information
- objection: object to us using your information where we rely on legitimate interests
- withdraw consent: at any time, where we rely on your consent
You can also ask us to limit how we use your information, or to send it to you in a format you can reuse.
To make a request, email info@studios6.co.uk. We’ll reply within 1 month, and it’s free in most cases.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
